STAGE THREE – Day to Day Tenancy Management
After all the agreements have been signed and the keys handed over, we begin our day-to-day full management service dealing with every related aspect of the tenancy.

This includes the following:

Rent Collection
We operate a strict rents due system, checking that all rents are received on time. We shall produce monthly statements indicating rents received, charges deducted and maintenance costs (if any) and forward the balance to you via your preferred payment method. (This usually takes place within ten days of the rent due date.)

Inspections
We feel that the upkeep of the property and gardens is just as important as the rent being paid on time and we ensure that regular inspections take place during the term of the tenancy. This could be on an ad-hoc basis, but typically will be within the first three months of a tenancy and regimentally six monthly thereafter. We also look to monitor the general wear to the external parts of the building and report back to you accordingly for the protection of the investment and structure of the building.

Repair / Dilapidation Reports
We monitor the reported problems of tenants and instruct and investigate where necessary, whilst at all times keeping you fully updated. We have an excellent maintenance team of local contractors who work to our instructions to ensure a professional job is done at a reasonable and competitive price.

Free 24 Hour Emergency Call Out Service
This is an excellent service that covers all emergency jobs and problems that can arise at any time. The main aim is to meet the necessary needs of tenants and prevent extreme damage to properties where at all possible. For each individual property opendoor operates a free call out service to be used by tenants in emergencies when we are unable to personally attend. This includes attendance when for example there are blocked toilets, electrical failures and plumbing problems including leaking pipes.

Notice Protocol
On receipt of the correct one months notice being issued by a tenant, we actively re-market the property immediately to try and achieve continuity of tenancy and make preparations to carryout the final inspection. Should you require for any reason possession of the property, we will issue the notice paperwork providing the tenant with the necessary two months notice and finalise all tenancy matters.

Final Inspection and Deposit Return
On the final inspection of the property, we carefully compare the condition in relation to the inventory signed at the commencement of the tenancy. Should any discrepancies arise (excluding fair wear and tear) we shall make arrangements for their rectification, and deduct costs from the surety deposit paid before returning the remainder.

Tax
We recommend that all landlords seek professional financial advice in relation to tax applicable. If required by individual landlords, we can produce an annual statement for their own accountants, detailing all rents received and costs deducted. All non-UK resident landlords will need to fill out an Inland Revenue form to assess the suitability for issue of a certificate for non-deductions of tax to be taken from rents received.
